We are committed to protecting the privacy of individuals whose personal information we handle. This policy explains how we collect, use, store, disclose and protect personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. Personal information we collect
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. The personal information we may collect includes:
- Contact details — name, email address, phone number and location
- Résumé, employment history and qualifications
- Work rights and visa status
- Salary expectations and career preferences
- Interview notes and assessments
- Referee information and reference feedback
- Any other information relevant to assessing employment suitability
We collect personal information only where it is reasonably necessary for our recruitment activities or as otherwise permitted by law.
3. Candidate and résumé information
When you submit an expression of interest or apply for a role through Royce, we collect the personal information you provide, including your résumé and any supporting documents. This information is used to assess your suitability for current and future employment opportunities and to provide recruitment services on your behalf.
We will not submit or represent you to a prospective employer without first discussing the specific opportunity with you and obtaining your express authority to do so.
4. Information collected from referees and other sources
With your consent, we may collect information from referees you nominate. We may also collect publicly available information relevant to your professional background, such as information from LinkedIn or other professional profiles. We will only collect information from third-party sources where it is reasonably necessary and where we have appropriate authority to do so.
5. Why we collect and use information
We collect and use personal information to:
- Assess your suitability for employment opportunities
- Match candidates with appropriate roles
- Communicate with you about opportunities, applications and the recruitment process
- Conduct reference checks with your authority
- Comply with our legal obligations
- Improve our services and internal processes
We will not use your personal information for direct marketing without your separate, express consent.
6. Disclosure to prospective employers and clients
We may disclose your personal information to prospective employers and our clients for the purpose of assessing your suitability for a role. We will only do so after discussing the specific opportunity with you and obtaining your authority to represent you for that role.
We may also disclose personal information to third-party service providers who assist us in operating our business (see section 11), and where required or permitted by law.
7. Candidate authority before representation
Royce Talent Partners will not present your résumé or personal information to a prospective employer without your prior knowledge and consent. Before we represent you for any specific role, we will:
- Discuss the role and the employer with you
- Confirm that you wish to be considered for that opportunity
- Obtain your express authority to proceed
This commitment is central to how we operate and reflects our approach to candidate care.
8. Sensitive information and consent
Sensitive information includes information about health, disability, racial or ethnic origin, criminal record and similar matters. We will only collect sensitive information where it is reasonably necessary for our recruitment activities and with your consent, unless we are otherwise required or permitted to do so by law.
Please do not provide sensitive information unless it is relevant and requested. Where collecting sensitive information becomes reasonably necessary, we will explain the purpose and obtain appropriate consent unless collection is otherwise permitted by law.
9. Website forms, cookies and analytics
When you submit a form on our website — including a contact enquiry or expression of interest — we collect the information you provide. This information is used to respond to your enquiry or to process your application.
Our website may use cookies and similar technologies to support site functionality and to understand how visitors use the site. You can manage cookie preferences through your browser settings. We do not use cookies to identify you personally without your consent.
We may use third-party analytics tools to collect aggregated, non-personally identifiable information about website usage. Where such tools are used, they are subject to their own privacy policies.
10. Third-party technology and service providers
We use third-party technology providers to operate our website, manage email communications, store data and support our recruitment activities. These providers may include cloud storage, email delivery, website hosting and recruitment management platforms.
We take reasonable steps to ensure that our service providers handle personal information in a manner consistent with the Australian Privacy Principles. However, these providers operate under their own terms and privacy policies, and we encourage you to review those policies where relevant.
11. Overseas storage or disclosure
Some of the third-party technology and service providers we use may store or process personal information outside Australia. We do not represent that all personal information is stored exclusively within Australia.
Where personal information is transferred to or stored in an overseas location, we take reasonable steps to ensure it is protected in a manner consistent with the Australian Privacy Principles. By providing your personal information to us, you acknowledge that it may be stored or processed outside Australia.
12. Data security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include access controls, secure communication channels and appropriate data handling practices.
While we take data security seriously, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security of personal information.
13. How long information is retained
We retain personal information for as long as it is reasonably necessary for the purposes for which it was collected, or as required by law. Candidate information may be retained to consider you for future opportunities, unless you request that we delete your information.
When personal information is no longer required, we will take reasonable steps to destroy or de-identify it.
14. Accessing or correcting personal information
You have the right to request access to the personal information we hold about you, and to request that we correct any information that is inaccurate, out of date, incomplete or misleading. To make such a request, please contact us using the details in section 16.
We will respond to access and correction requests within a reasonable time. In some circumstances, we may be unable to provide access — for example, where doing so would unreasonably affect the privacy of another individual or where we are required by law to refuse access. We will explain any such refusal in writing.
15. Withdrawing consent or requesting deletion
You may withdraw your consent to the collection and use of your personal information at any time by contacting us. You may also request that we delete the personal information we hold about you, subject to any legal obligations that require us to retain certain records.
Please note that withdrawing consent or requesting deletion may affect our ability to provide recruitment services to you.
16. Privacy enquiries and complaints
If you have a question, concern or complaint about how we have handled your personal information, please contact our Privacy contact in the first instance:
We will acknowledge your complaint promptly and aim to resolve it within a reasonable time. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
17. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. The current version will always be available on our website at roycetalent.com.au/privacy. We encourage you to review this policy periodically.
Continued use of our services after any update constitutes acceptance of the revised policy.
